Almost every corporate gifting order turns out to be two or three orders wearing one brief: something for everyone, something for clients, and something for a short list of names. They usually share a design language and almost never share a unit price, which is why quoting them as one blended figure tends to produce a number that is wrong for every tier.

What this industry actually needs

Tiers, names, and a date

A corporate gifting order is rarely one order. It is a tier for everyone, a tier for clients and a tier for a short list, sharing one design language and almost nothing else — plus a recipient list and a date that does not move.

1. Quote the tiers, not the total

A blended unit price across three tiers is wrong for all three. The all-staff tier is decided by unit cost; the client tier by whether the box arrives undamaged and is worth keeping; the executive tier by how the contents sit inside it. Splitting them changes which products get compared, and it usually saves money on the tier that has the most units.

2. A name on every box is a cost structure, not a design

Variable-data printing and hand-applied labels are two different economics: one front-loads setup and barely moves with volume, the other is cheap to prepare and charges you on every box. Which is cheaper flips at a count we can tell you once we know your number — and the answer is not the same at 100 boxes as at 2,000.

3. The date decides the schedule

A gift that arrives after the event has no value, so the plan is built backwards from the date. That makes artwork changes the real risk: a change to a die is a new tool, a change to a print is a new plate. Freeze the artwork before anything else is agreed, and the date usually holds.

Before you brief a corporate gift

Tiers, variable names, multi-address fulfilment and an immovable date — what actually decides a corporate gifting order.

Can every box carry a different recipient's name?
Yes, and it is the most common thing that turns a simple order into a complex one, so it is worth deciding early. There are two ways to do it and they are priced differently. Printing each name is a variable-data job: one pass, a file of names, and the cost is in the setup rather than the ink. Applying printed labels by hand is the other route: cheaper to prepare, and it costs labour on every box, which starts to hurt as the count rises. Send the recipient count and we will tell you which side of that line your order falls on rather than quoting a blanket figure.
The boxes need to reach 200 different addresses. Does that change anything?
It changes who does the work, and it is worth raising before the order is placed rather than after. If the boxes come to your office, someone there repacks, labels and posts them. If they are fulfilled directly, the shipper is the thing being specified rather than the gift box, and the outer carton has to survive a parcel network on its own. Either is workable. What is not workable is discovering on the deadline that nobody owns the kitting step.
How far in advance do we need to start?
Work backwards from the event date, not forwards from today, and tell us the date at the very start. The reason is that the date — not the quantity — decides the schedule. Artwork that changes after approval is the single most common cause of a missed gifting deadline, because a change to a die is a new tool and a change to a print is a new plate. If the date is fixed, get the artwork frozen before anything else is agreed.
How many artwork approval rounds should we expect?
In a corporate order, more than you would in a retail one, because the brief passes through procurement, brand and often legal before it reaches us. That is normal, and it is why we ask for the approver's name at the start. The practical consequence is that we would rather see a rough layout early and correct it than see a finished design late — a 3D mockup against your artwork is free with every quote precisely so that the round of changes happens on screen instead of on a die.
