Work backwards from the shelf date, not from the holiday

A festive order is a date problem before it is a price problem. Below is how we count backwards from the month the goods have to be on shelf, and the order-by month for each of the six occasions we build for most often.

Adding those windows together: a sea shipment needs roughly four to five " months from artwork approval to shelf, and an air shipment roughly two to three. The table below " is that arithmetic applied to each occasion, using months rather than dates — the retail " month moves for Easter and for Mother's Day depending on market, so plan from the month you sell " in.

Recommended order-by months for a decorated festive run, reverse-planned from the retail month. Sea freight assumes a US or European destination and an FCL or LCL booking; add two to three weeks for other routes. Air freight buys roughly two months of slack at a higher landed cost.

If you are already late, these are the options

  • Fly a reduced quantity — air is 5–8 days in transit against 30–40 by sea, and a partial air shipment still lands the launch
  • Drop the multi-colour print and use a plain body with a festive printed belly band or sticker, which needs no per-colour set-up and is quoted as its own line
  • Keep the structure and simplify the decoration: a debossed motif instead of a five-colour wrap removes foil and print dies
  • Book the same artwork as a January reorder — the screens and dies are already paid for, so the unit price improves and the set-up is free

Tell us the date the goods must be in your warehouse and we will answer yes or no against it in writing, with the cut-off for each route. October and November are the two months when air capacity tightens, so a late December order is always more expensive than a late summer one.

How the range works

One structure. A different festive pattern.

The box is the same object in every season. What changes is the wrap: a December shell in spruce or cranberry with a foiled mark, a spring shell in pastel with a debossed botanical motif, an autumn shell in kraft with copper foil on a rust flood. The greyboard, the magnets, the dieline and the wrapping set-up are identical, so a brand that sells four seasons a year pays for tooling once and buys artwork four times.

That is also why the pattern is worth designing properly rather than treating as decoration. A festive repeat has to be set to the dieline so it breaks across the lid edge by design; a bag pattern has to be set from the finished body width before the screens are made; and a window has to line up with the contents, which means the insert is set from the aperture rather than the other way round. Send artwork on the die line and this is all one conversation instead of three.

The same logic applies to the fabric side of the range. A printed tote is the cheapest festive object you can put a brand on, and the cloth lasts far longer than the season: deep green canvas in December, natural canvas with pastels in spring, kraft-toned canvas in the autumn. One body, one handle specification, three or four artworks a year.

Every technique below is quoted as its own line on top of the structure price, so you can decide where the festive budget goes rather than buying a bundle.

Gold, silver, rose gold, copper or holographic foil pressed into the wrap or the cloth under heat. Priced by stamped area and quoted as its own line, so a small festive mark costs a fraction of a full edge band.

A festive repeat or a single motif raised or recessed into the board with a custom die. The quietest way to look expensive, and usually cheaper than a five- or six-colour print.

MOQ and set-up

Why a festive run starts at 500 pcs

Festive packaging is not a plain box with a pattern on it: it is a plain box that then goes through extra set-up passes. This is exactly what is paid once and what comes free the second time.

The rule across this site is that decoration is priced line by line. A structure has one " set-up — the dieline, the board specification, the wrapping or sewing — and a festive " artwork has several: the printed wrap or cloth, one screen per colour, and then a foil, emboss, " spot UV or window step for each extra effect the design uses.

Those extra set-ups are one-off tooling, not per-piece cost. That is why the festive minimum " is 500 pcs per design: on a 300-piece run the set-up dominates the unit price and the buyer " overpays for the pieces, while at 500 pcs and above it is amortised across the order and the " piece price falls. It is also why we keep every screen and die on file: the second festive run in " the same artwork pays no set-up at all, which is how the unit price of a repeat order drops.

Two honest caveats. First, the structure is what you are buying: a festive printed tote still " sits on the $0.40–1.20 canvas band at 500 pcs, and a festive magnetic box on the " $1.50–2.30 band. The decoration lines sit on top of that, and a full festive finish " programme can add more than the structure costs — print the pattern and keep the metal to " one small mark if the budget is fixed. Second, larger quantities are always cheaper per piece, " because the same set-up covers 500 or 5,000 pieces; buy the quantity you expect to sell rather " than the smallest run we will accept.

Six occasions, four kinds of buyer

Festive lines are bought for different reasons, and the specification follows the reason. These are the four briefs we see most often.

Retail gift with purchase

A bag or box handed over at the till that turns one item into a present and carries the brand in public for weeks. Usually one artwork, a small chest mark, and a print budget that favours quantity over decoration.

Employee and corporate gifting

One festive design produced once and shipped against a distribution list, often across several countries. Foil on a matte wrap, structured boxes and inserts that hold a fixed assortment.

Subscription and PR drops

The season is the content, so the box or bag is the moment the customer photographs. Reordered annually on the same artwork, which makes it the cheapest festive line to repeat.

Store, market and hospitality

Bought seasonally by retailers, market traders, hotels and events, often in hundreds rather than thousands, and usually reordered mid-season — which is why we keep the screens.

Before you plan a festive year

Set-up, timing and the two questions that decide most festive orders.

Can different holiday patterns share one set-up?
The structure, yes — the artwork, no. One box size or one bag body means one cutting die and one sewing or wrapping set-up, and that is the tooling that costs real money: it is paid once and then serves Christmas, Easter, Thanksgiving and every other occasion on the same body. What cannot be shared is anything that carries the image. Each colour is its own screen, a foil mark needs its own die, an emboss needs its own die, and embroidery needs a digitised file. So the efficient way to run a festive year is one structure with four artworks: tooling once, artwork set-up per design, and reprints of the same artwork at no set-up cost.
How early do we have to order for each holiday?
Work backwards from the month the goods must be on the shelf, not from the date of the holiday. Production is 12–18 days for boxes and 15–20 days for printed bags, air freight takes 5–8 days in transit and sea freight to the US or Europe runs 30–40 days, and you still need three to four weeks for your own pack-out and distribution. That puts a December delivery at early August by sea or early October by air, a November (Thanksgiving) delivery at early July or mid-September, an October (Halloween) delivery at early June or mid-August, and a spring delivery at November for sea or early February for air. The reverse-planned calendar above lists all six.
We are late — can we still make the holiday?
Sometimes, and we will tell you plainly which parts are still possible. If the sea window has closed we quote air freight (5–8 days in transit) on a reduced quantity; if even that is too late we produce a plain box or tote with a festive printed belly band or sticker, which is quoted as its own line and needs no multi-colour set-up; and if the date is simply gone we book the same artwork as a January reorder, where the unit price is better and the screens are already paid for. What we will not do is promise a sea schedule that cannot land, and we would rather lose the order than miss the season.
Why is the festive minimum 500 pcs rather than 300?
Because festive decoration is set up per colour and per artwork, and that set-up has to be amortised across the run. Elsewhere on this site the entry level is 300 pcs for lighter structures such as paper bags and mailers, and 100 pcs for rigid boxes; a festive run has a print set-up per colour plus, usually, a foil, emboss or window die, and at 500 pcs that tooling is spread thinly enough to keep the unit price sensible. The set-up is identical whether you order 500 or 5,000, so a larger order always carries the lower piece price — buy the quantity you expect to sell rather than the smallest run we will accept.
Do we need a different box for every holiday?
No, and building one structure across the year is the cheapest decision in this whole page. A magnetic box or a canvas tote is a neutral object: what makes it a Christmas box is the wrap artwork, and what makes it an Easter box is a different wrap on the same shell. Brands that run four festive moments a year normally hold one or two sizes and change artwork, which keeps the tooling to a single payment and keeps the specification stable for their own packing line. The one thing that does change between seasons is the insert, if the contents change.
